Summary of Role:

This is role is to provide afternoon reception cover for our head office. You will be the first point of contact for all visitors and telephone calls, you will also be dealing with employee enquiries and requests. The role will also be required to cover the other receptionist in the morning during periods of sickness and holidays so flexibility is required. Hours can be reasonably flexible, but the role is primarily to cover between 2 and 5pm Monday-Friday

Role Description:

Key Responsibilities:

  • Meeting and greeting visitors and clients professionally.
  • Handling meeting requests and managing bookable resources (conference rooms).
  • Arranging buffet orders and refreshments for meetings.
  • Answering and directing incoming phone calls promptly and courteously.
  • Managing hire bookings, including short-term car hire and maintaining monthly cost submissions.
  • Monitoring and responding to fire alarms as per company safety procedures.
  • Setting up meeting rooms as required, including layout and equipment.
  • Recording and reporting any employee sickness to HR or relevant department.
  • Sorting and distributing incoming post and preparing outgoing mail.
  • Supporting general reception duties and assisting with ad-hoc administrative tasks.

Personal Qualities:

  • Cheerful demeanour and must have excellent telephone manner
  • Previous experience would be desirable
  • Honest and trustworthy with good organisational skills
  • Ability to work collaboratively with others
